My clients have secure email hosting and I always recommend using domain-based email. Does your business email match your domain, or do you use Gmail for business communication?
Even with my recommendations for using secure email service, some clients insist on using free services like Gmail as their business email.
Your website says you’re a credible business. Your Gmail gives the impression that you’re a hobby.
Believe me, potential clients notice.
Why Your Business Email Should Match Your Domain (Not Gmail)
I just watched a news segment about using Gmail and what data is being shared. Using a Google product for your business email is not private. That means Google is probably sharing your data and your client’s data.
An email address on your domain name is more secure than using Gmail. It looks more professional, too.
Professionalism and Branding
When I send emails from marcie@abuzzcreative.com, it reinforces my brand with every single message.
A Gmail address like abuzzcreative@gmail.com looks less professional, plus my business appears less credible.
Email Privacy and Security
Gmail is a free service. You are not the customer. Your data is.
Google has faced scrutiny over how it scans and uses email data for advertising and profiling.
When you use an email address that is tied to your domain and your website host, your messages are not mined for advertising purposes.
Communication and client data will stay private.
Business Trust and Email Deliverability
Do you know how many emails sent from your Gmail account land in someone’s Junk folder?
You might be missing incoming email because Google created some odd new folders for you in your Gmail app.
Email messages sent from a business domain name are more likely make it to someone’s Inbox. Plus, your message is less likely to land in a Junk folder to never be seen again.
Hosting providers tend to filter out free email addresses they do not trust, especially when used for business communication.
Switch to a domain name email address. It will build more trust with clients, partners, and vendors.
Email Ownership and Data Control
Gmail and Google services are free to use, for now.
What if they change their terms or lock you out of your account? You risk losing access to years of business communication.
Email on your own domain means you own and control your email and archives of messages.
Business Brand Consistency
Your email is part of your brand! Using marcie@abuzzcreative.com looks way more professional than a Gmail address.
When your email matches your website domain, it shows consistency and builds credibility. Your website, email, and branding should all align. Example:
- My website is www.abuzzcreative.com
- My email is marcie@abuzzcreative.com
If I were to use an address like abuzzcreative@gmail.com, I might come across as more of a hobby than a real professional web designer.
Your Business Email Should Match Your Domain
Gmail might be easy, but it’s not built for secure business use, especially long-term.
Using your domain name for email shows that you are a professional business. It also keeps your communication private and improves deliverability.
